• Six weeks before senior night — collect roster details, stats, and school colors from your coaching staff
• Four weeks out — place the order so proofs can be built and reviewed without pressure
• Two to three weeks out — approve proofs; this is your last window to fix a misspelled name or a wrong number
• One week out — frames arrive, get unpacked, and get checked against the roster

The single most common problem is a rush order placed ten days before the ceremony with a stat sheet nobody double-checked. Names get misspelled. Numbers get transposed. Build in the proof window — it exists for a reason.
